SeatOn Web - Notifications
Access this page by clicking on Settings/Notifications on the menu. On this page you can update notification messages templates which will be sent by email or text (SMS) to customers after creating/canceling/confirming reservations or creating/canceling/confirming access to the waiting list. For more information about the waiting lists and reservations see the Events workflow page.
SeatOn application comes with predefined notification messages, but you can always modify them to match your needs. In general, there are two message types, based on event types where they are used:
Each message type is accessible by clicking on the separate tab, as shown on the picture below:
For both reservation and waitlist messages you also have to define your contact details which will be displayed in notification messages sent to customers:
- contact email
- contact phone number
- Homepage URL
These settings will also be used in online reservations setup.
Finally, when making any messages and contact details modifications, it is necessary to click the button "Save notification settings" in order to save changes.
There are five types of messages related to a reservation event:
- Verification email message - sent to customer upon creation of an online reservation request, asking customer to verify the online request
- Confirmation email message - sent to customer upon creation of a reservation, asking customer to confirm the reservation
- Reminder email message - sent to remind customer about an upcoming reservation
- Cancellation message - sent to customer when you and your employees cancel reservation
- Thank you email message - sent to customer who have just visited the restaurant, in order to thank him and ask him to leave a feedback after the visit
Verification email message - this message is sent to customer upon creation of an online reservation request, asking customer to verify the online request. Change the message in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of the screen.
In addition, you can click the button Preview reservation verification email in order to preview the message:
Customers have to verify their reservation request only once. Once they have successfully verified their reservation, any future reservation requests they make won't have to be verified.
Confirmation email message - this message is sent to the customer as confirmation that reservation is processed successfully, when table(s) are assigned to reservation. By clicking on the checkbox "Send reservation confirmation message to customer", you can decide if such message will be sent or not. Change the message in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of the screen.
In addition, you can click the button Preview reservation confirmation email in order to preview the message:
Click the Close button to close the opened dialog.
Reminder email message - this message will be sent to remind customer about an upcoming reservation. By clicking on a checkbox "Send reminder to customer" you can decide if such message will be sent or not. Furthermore, you can also define when will such message be sent to a customer. By selecting value from the adhering drop-down list, you can specify time before the beginning of the event. Change content of the message in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of a screen.
In addition, you can click the button Preview reservation reminder email in order to preview the message:
Click the Close button to close the opened dialog.
Cancellation email message - this message will be sent to inform customer that a customer's reservation has been canceled. By clicking on a checkbox "Enable cancellation message" you can decide if such message will be sent or not. Furthermore, you can enable message personalization before sending it to a customer.
Change content of the message in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of a screen.
In addition, you can click the button Preview reservation cancellation email in order to preview the message:
Thank you email message - if you would like to send thank you message to a customer who have just visited your restaurant and ask him to leave a feedback after the visit, mark the checkbox "Send thank you message to customer" and checkbox "Ask customer to provide feedback for visit", respectively. Change content of the message text in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of a screen.
In addition, you can click the button Preview reservation thank you email in order to preview the message:
Click the Close button to close the opened dialog.
There are three types of messages related to a waitlist event:
- Added to waitlist text message - sent to customer by text (SMS) when customer is added to the waiting list (PLEASE NOTE that sending text to customer mobile phones is available only for US and Canadian users.)
- Table is available text message - sent to waiting customer when a table which matches customer's request has become available
- Thank you email message - sent to customer who have just visited the restaurant, in order to thank him and ask him to leave a feedback after the visit
Added to waitlist text message - this message is sent to customer by text (SMS) when customer is added to the waiting list. You can change message text in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of a screen. PLEASE NOTE that sending text to customer mobile phones is available only for US and Canadian users.
In addition, you can click the button Preview add to waitlist text mesage in order to preview the message:

Table is available text message - this message is sent to waiting customer when a table which matches customer's request has become available. Please note that due to SMS provider limitations, customers with international (non-US) phone numbers in general won't be able to confirm their arrival by text. Sending text to/from customer mobile phones is available only for US and Canadian users.. Recommendation is to wait for 15 minutes for such customers before you assign their table to other guests.
You can change message text in the appropriate text box. In order to save message data, click the "Save notification settings" button in the upper right corner of a screen.
In addition, you can click the button Preview waitlist table is available text message in order to preview the message:
