SeatOn Web - Online Reservations settings - Automatic table assignment
When guests create online/IVR reservations, instead of manually assigning tables using the Pre-reservations page, tables can be automatically assigned for each created reservation. This feature is not turned on by default, in order to enable it you have to go Settings/Online reservation and on the Settings tab enable the appropriate checkbox under the Automation subtitle:
Furthermore, from the drop-down menu you have to select the algorithm strategy which will be used for automatic table assignment:
There are currently 4 possible strategies:
- Assign one table with a matched number of seats, if not found leave unassigned - find a table with the exact number of requested seats. If there is no such table, do not automatically assign anything. This option will not try to merge multiple smaller tables to match the requested number of seats. Please find examples in a picture below:
- Assign any table to accommodate request, if not found leave unassigned - find any table which has a capacity bigger or same than a number of requested seats. If there is no such table, do not automatically assign anything. This option will not try to merge multiple smaller tables to reach the requested number of seats. Please find examples in a picture below:
- Assign any table to accommodate request, if one is not sufficient, merge more tables (in all Areas) - find any table which has a capacity bigger or same than a number of requested seats. If there is no such table, try to merge multiple smaller tables to reach the requested number of seats. When merging tables, first try to merge tables in a same Area. If it is not possible, try getting tables from all Areas. Also, always try to minimize the number of merged tables (e.g. if you need table for 6 persons, table(s) combination 4+2 has advantage over a combination 2+2+2). If there is no such table, try to merge multiple smaller tables to reach requested number of seats. When merging tables, first try to merge tables in a same Area. If it is not possible, do not try getting tables from other Areas. Also, always try to minimize the number of merged tables (e.g. if you need table for 6 persons, table(s) combination 4+2 has advantage over a combination 2+2+2). If you want to modify the way the automatic algorithm has assigned table(s) to a reservation, you can always rearrange table(s) manually.
Finally, when setting up an automatic assignment strategy, do not forget to click the Save settings button in order for changes to become effective.
